The Aesthetics Hub® New Clinic Guidelines (Covid-19)

As a nurse-led medical aesthetics clinic, Abbey, Helen and Cheryl are Registered Nurses and Independent Nurse Prescribers, regulated by The Nursing and Midwifery council. Their autonomous practice consists of consulting, diagnosing, prescribing and treatment planning, providing holistic care to all their patients. As always each patient will be assessed on an individual basis and we will now be triaging everyone before booking appointments as part of the assessment process. 
We already had in place many infection control measures within clinic, but the pandemic necessitates some adjustments to our medical practice in order to make the transition back to Clinic as safe as possible and minimise the transmission of the Covid-19 disease. This new clinic policy has been devised through the clinicians own experiences and using appropriate medical guidance from the British Association of Cosmetic Nurses, Save Face and the clinical paper "Covid-19 Pandemic: Consensus guidelines for preferred practices in an aesthetic clinic" by Kapoor et al. The goal is to focus on protecting our patients, ourselves and our friends and families and deliver appropriate and safe medical treatments at all times.  

This policy will be reviewed continuously and updated with the latest guidance. As you know, we will not be able to adhere to social distancing practices during treatments, therefore appropriate PPE will be worn by both staff and patients, this may include face masks and hair covers and to start we will be operating with a slightly reduced treatment menu. 

Please read the information below which explains how our admin and clinic procedures have changed and how we will operate going forward. This document is to be used in conjunction with the clinic terms and conditions and our privacy policy

Appointment Booking Process:

  • All appointments will continue to be appointment-only and will have to be made at least 3-5 days in advance of your appointment date to allow for all booking processes to be completed. If you require products please arrange a collection date and time or ask for these to be delivered to an address convenient to you. No walk-ins will be permitted during this time.
  • Prior to booking your appointment we will send you relevant forms which will include an up-to date medical questionnaire. These will need to be completed before an appointment can be made for you. 
  • A booking fee will be requested to secure your appointment: please see the clinic terms and conditions.
  • Confirmation emails/texts will be sent for all booked appointments.
  • 3 days prior to your appointment date you will need to complete a Covid-19 pre-appointment wellness questionnaire.
  • In the absence of completing all the necessary paperwork remotely, your appointment may be delayed.
  • Virtual consultations can take place for all new patients and anyone wishing to explore new treatments. Specific appointment times will be given for these video calls and instructions on how to access the virtual video link.  However we are now able to see new patients for face-to-face consultations in the clinic. 
  • Product purchases can continue to be posted to you or collected at a designated appointment date/time. 

On the day of your appointment:

Wellness check:

  • On arrival we may check your temperature.
  • Do not attend your appointment if you feel unwell, are showing any signs of Covid-19 symptoms, or anyone you live with or have been in close contact with also have Covid-19 Symptoms.
  • If you have traveled overseas, across the UK or attended an event you will not be able to attend an appointment until 15 days have passed. Please tell us in advance so that your appointment can be scheduled/rescheduled accordingly.

At Your Appointment:

  • Please arrive on time for your appointment, if you are over 5 minutes late we may need to rearrange your appointment as we need to keep to time as much as possible in order to clean the clinic in-between patients. 
  • On arrival please call or message and we will allow entry once the area is free/clear. You may wish to ring from your car in case there is a delay. 
  • A non-touch hand sanitiser station has been placed inside the clinic porch, available for every patient and we ask that you use this before entering the Clinic. 
  • Upon entry you will be greeted in the clinic porch and required to wear a hair cover, face mask and over-shoe covers (please wear appropriate footwear to avoid slipping, shoes may be removed if more preferable). All of these items are provided by the clinic. 
  • All doors will be open to reduce touch-points within the clinic.
  • Friends, family or children will be unable to attend your appointment with you. If you are attending an appointment at the same time as a member of your bubble, you may arrive together. 
  • Please only bring essential items when attending appointments, leave shopping or excess belongings in the car/at home. All items coming into the clinic should be carried on your person, e.g phone, keys, purse/wallet, reading glasses. 
  • We have further sanitising stations and sinks available for your use within the clinic if you need to wash/gel your hands at any point during your appointment. 
  • Please try to attend your appointment with minimum/no make-up.
  • Unfortunately, at this time we will be unable to offer you hot drinks in clinic but we do have the water machine available with disposable cups. .
  • Your appointment time will be made specifically for the booking you have made: additional/unscheduled treatments will not be possible at this time.
  • Unfortunately, the clinic bathroom is now open and will be cleaned after each use.
  • Payment options: In order to limit contact, treatments can be pre-paid prior to your appointment via BACS or via a link to make a card payment online. Please request this at the time of booking. Alternatively, within the clinic our card terminal is available (apple pay is contactless or keypad as usual) and will be disinfected after use. If you prefer to pay cash, please bring the correct amount with you. Receipts can be sent via email for those wishing to have a record of their transaction.
  • Before leaving, you will be asked to remove your shoe covers, mask and hair cap and dispose of them in the foot-operated bin provided in the porch.
  • Please sanitise your hands again on exiting.

What we will be doing:

  • We will be getting changed in the clinic at the start of the day and changing out of our clinic clothes before leaving. All clinic clothes will be bare-below the elbow.
  • We will be wearing aprons, gloves, appropriate face-mask and a visor. These will be changed after every patient visit, with the visor disinfected between use.
  • We will also wear a hair-cover with hair tied-back.
  • Hand-washing as before will take place pre and post-treatments and at other appropriate times according to the clinic infection control policy. 

Clinic cleaning and other infection control measures:

  • After each appointment we will disinfect surfaces, counters, door handles, taps and any touch points.
  • Counters, trolleys, mirrors, handles, ipads etc will continue to be disinfected between patients.
  • We will also be fogging the treatment room and communal areas including the stairwell with a quick drying anti-viral and anti-bacterial solution so that the clinic is ready for the next patient immediately.
  • The treatment couch will have disposable roll in place and this will be changed between patients.
  • All unnecessary items will be removed from the clinic room, this includes information leaflets, however these can be emailed out to you.
  • We are now paperless and any medical questionnaires and forms that can be completed before appointments will be sent via a link on email. (If you do not have an email address this will be sent via text message). Consent forms or forms that need to completed in clinic will be done on the IPAD, please ensure you have reading glasses with you at your appointments

What treatments will we be doing and when?

Please review the information below where different aesthetic treatments have been categorised according to the risk of transmission of Covid-19. Although we do not carry out all of these treatments, we have included this information in case you have any treatments at other clinics.

We are continuing to offer low and medium risk procedures in clinic. High risk procedures (e.g Plasma skin tightening) will not be performed for the time being but we will update you when these can be booked again. 

The triaging system will allow us to prioritise those with a greater medical need first. Medical treatments within aesthetics still include all of the treatments we offer but the reasons behind why the patient is seeking the treatment in the first place may differ to others. Some people seek medical aesthetics treatments for visible problems such as acne, scarring, asymmetry or because people tell them they look angry or sad all the time when they're not, others seek help due to the impact their concern has on their mental health such as low self-esteem, insecurities which affect their day to day activities, anxiety, depression etc. These assessments are routinely completed in our clinical practice as part of a face-to-face assessment and we will have discussed a lot of these issues at the time of initial consultation and often at other appointments too, however because we are having to assess remotely at the moment, we may need to ask some extra questions depending on the answers you provide in your questionnaire in order to triage you correctly.

We understand how important these treatments are to you and that you would prefer not to delay, however we have to follow guidance and ensure yours and our safety every step of the way, we appreciate your patience and look forward to welcoming you in clinic once again! . 

Risk Categorisation of various aesthetic procedures based on consensus guidelines.

These risks have been categorised taking into consideration whether the treatment prohibits the use of a mask by the patient, whether there is contact with oral mucosa/secretions and also since social distancing can not be maintained. (Information provided by Kapoor et al. in the paper "Covid-19 Pandemic: Consensus guidelines for preferred practices in an aesthetic clinic.").

LOW RISK PROCEDURES:

  • Injectables (botulinum toxin, dermal fillers) for the upper third of the face and areas not on the face.
  • Injection lipolysis on areas not on the face.
  • Chemical peels
  • Cryolipolysis on the body
  • Nonablative fractional resurfacing lasers for areas not on the face
  • HIFU- High Intensity Focussed Ultrasound, not on the face
  • Radiofrequency tightening- not on the face.
  • PRP therapy for the scalp and body areas.
  • Laser Hair Reduction-upper face and body areas with a contact cooling device.
  • Low Level Light Therapy
  • Body Treatment with Electromagnetic muscle stimulation
  • IV injection therapy
  • Sclerotherapy
  • Hydrafacial.

MODERATE RISK PROCEDURES: 

  • Injectables (botulinum toxin, dermal fillers) for the middle and lower third of the face.
  • Soft tissue fillers in the lips
  • Microneedling procedures on the face and not on the face.
  • Injection lipolysis on submental area
  • Cryolipolysis for double chin
  • Nonablative fractional resurfacing lasers for facial sites
  • HIFU- face
  • RF tightening-face
  • PRP therapy for face
  • Laser hair reduction on the middle and lower face with contact cooling device
  • Thread lifting on the face and not on the face.
  • Invasive Radiofrequency devices for face and not on the face.
  • Soft tissue fillers/PRP in the genital areas
  • Radiofrequency/lasers for the genital area. 

HIGH RISK PROCEDURES:

Aerosol generating procedures or plume producing procedures such as:

  • Plasma skin tightening 
  • Micropigmentation, microblading
  • Laser Hair removal with non-contact cooling devices
  • Q-switched Nd:YAG laser
  • Alexandrite laser
  • Ruby lasers
  • Pulsed-dye laser
  • Ablative resurfacing lasers (fractional and non-fractional)
  • Electrocautery
  • Microdermabrasion
  • Jet infusions/facials
  • Dermajet devices
